Your Purpose: The Organizer Behind the Operations
In this role, you will provide essential administrative support to our training function. You'll be the person who ensures that every Cabin Crew member's ECAA medical certificates, flying licenses, and mandatory training records are current, compliant, and meticulously maintained. From coordinating license renewals to managing our Learning Management System, you'll keep the workflow smooth so our trainers can focus on what they do best: preparing exceptional crew.
You'll work within a clear framework of responsibilities, always consulting with your line manager on non-routine matters. Every task you perform will follow established policies and procedures, ensuring Air Arabia continues to operate at the highest standards of safety and compliance.
What You'll Be Responsible For?
This role is varied, hands-on, and absolutely vital. Here's a closer look at what your days will involve:
- License and Compliance Management: Coordinate the entire license validation and amendment process for Cabin Crew—ECAA medical certificates, flight licenses, and Dangerous Goods Regulations (DGR) certifications. Prepare documentation, process applications, and ensure all renewals happen well before expiry dates. Schedule medical appointments with approved centers and maintain a precise log of all crew-related approvals and training facility expiries.
- Instructor and Examiner Support: Keep track of all Cabin Crew Instructor approvals for Safety, First Aid, and Examiner roles. Process renewal applications in advance, ensuring no gaps in training capability.
- Learning Management System (LMS) Administration: Manage the LMS for new cabin crew joiners—handling online registrations, allocating usernames, and ensuring everyone completes required modules on time. Provide technical support and guidance, troubleshoot issues, and monitor e-learning progress, reporting results to relevant teams.
- Records and Documentation: Maintain an up-to-date, accessible database of all safety and training documents. Ensure everything meets ECAA and Air Arabia quality assurance standards, from manuals to attendance sheets and certificates.
- Course Coordination: Assist the Training Manager in organizing both internal and external training courses. Handle nominations, scheduling, venue arrangements, materials preparation, and communication. Record attendance, issue certificates, and adjust schedules as needed.
- Cross-Departmental Collaboration: Work closely with Scheduling, Security, and Airport Authorities to arrange airport passes for new joiners. Partner with HR, Finance, Legal, and IT on function-related matters—from processing invoices to fixing smart board issues. Liaise with the Cabin Crew Training Supervisor and Crew Scheduling on third-party training requests and CEET slot management.
- Administrative Excellence: Prepare and follow up on online purchasing and service orders. Control inventory of training materials, tools, and office stationery. Organize meeting minutes for the Cabin Training Department, circulate them, and track action items to completion.

Essential Requirements:

- Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
